Adding tasks
Plain-words capture, the fields on a task, what the defaults are, and what happens the moment you save.
Updated 9 September 2026
In plain words
The box at the top of the Tasks panel takes a sentence: “deck for the board by Thursday, about two hours, urgent”. Press Enter and a draft opens with the title, duration, deadline and priority filled in for you to correct before it lands. A bare day means the end of that working day, not midnight. Lite includes 50 of these a month; Pro has no limit. Typing the fields yourself is always free.
The fields
- Duration
- How long the work takes. A task typed without one gets an hour; a draft from meeting notes gets thirty minutes. Change it any time.
- Deadline
- Optional. The scheduler places work before it, and tells you if it cannot.
- Priority
- Low, medium, high or urgent. Higher priority is placed first, whatever the deadlines say.
- Repeats
- Daily, weekly, every two weeks, monthly or yearly, with an optional end date. Each occurrence is placed fresh inside the period it falls in.
- Can be split
- Lets long work spread across days in pieces of at least thirty minutes. See Splitting long work.
The moment you save
A new task is placed straight away: the whole week is replanned so an urgent task can take a slot from lower-priority work. The event appears on your Google Calendar with the task’s title. Editing a task’s duration, deadline, priority or split setting replans too.
Finishing and deleting
Marking a task done, or deleting it, removes its events from the calendar and frees the time for other work at the next replan. Closed tasks sit behind the Closed tab.
