Meeting notes to tasks

Paste notes or forward the notes email; only the items that are yours come back, as drafts you accept or dismiss. Pro.

Meeting notes are full of action items, most of them other people’s. Give Pensova the notes and every item that is yours comes back as a draft task with a suggested duration and, where the notes say, a deadline. Nothing lands on your calendar until you accept it. This is a Pro feature; on Lite the buttons show a plain upgrade prompt.

By paste

Open Meeting notes from the sidebar (or Notes on a phone), paste the notes from any tool or your own typing, and submit. Drafts appear under the Drafts tab. Pasting the same notes twice, or notes that mention work already on your list, skips the repeats and says how many.

By email

Every account has a private address under Settings → Notes by email. Forward a notes email to it: Gemini’s “Notes:” email after a Google Meet, or the summary email from Otter, Zoom, Fireflies and similar tools. Within a minute the drafts are waiting under the Drafts tab.

To make it automatic in Gmail:

  1. Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address → paste your Pensova address.
  2. Gmail emails a confirmation code to that address. Back in Pensova, Settings → Notes by email → Show the Gmail confirmation. The code is shown once.
  3. Enter the code in Gmail, then create a filter: search from:gemini-notes@google.com → Create filter → Forward it to → your Pensova address.

Who counts as you

Next steps assigned to other people are dropped before anything is read by the model; commitments about you in the prose are kept. Pensova knows you by the name and email on your Google account. Forwards are accepted from the address you sign in with, from the notes services themselves, and from up to five addresses you add under Also accept forwards from, which is where a work address goes when you sign in with a personal one. Anything else sent to your address is ignored.

What is kept

The email is read once, turned into drafts, and discarded. Pensova keeps the drafts, a record that something arrived (the service it came from, a hash of the text, and how many drafts it produced), and nothing else: not the subject, not the sender, not a line of the notes. Up to 30 forwards a day are accepted per account.

Reviewing drafts

Every field on a draft is editable in place. Accept puts it on the list and the calendar; Dismiss removes it. A draft that arrived without a duration suggests thirty minutes.
